Highest priority is given for the security of your information and data at Data Entry Services. We believe in the constant and continuous up-gradation of our security tools and policies, technology and training to abide by the Gramm- Leach-Bliley Act, HIPAA and the Interagency Guidelines Establishing Standards for Safeguarding Customer Information.
Facility Security
Vital access points are protected via biometrics security system that tracks the location of the members of our staff. We also implement interoffice web usage tracking software to scrutinize all incoming and outgoing mail and net usage. If our clients request it, we will also comply with any individual security requests that they require.

Client verification is carried out with a thin client model on our central servers. All data is retained on our central servers and nothing is allowed to be removed from it. All images, data, and processing information are all retained on our central servers. Data entry operators are not allowed to take any information, papers or images outside the central server rooms.
Document security
The informational documents and files that our clients give us are treated with the highest security measures. We do not hand the hardcopy documents to our data entry operators at any time. The paper information is scanned with high speed scanners; data is extracted with high speed text recognition and then keyed into databases by using the scanned information. All used documents are then destroyed by means of an independent document destruction firm located on site.
WE ENSURE THAT DOCUMENTS DO NOT LEAVE OUR PREMISES AT ANY TIME.
Disaster Recovery
Our company’s production system is housed in its own off-site data protections site. We currently have two sites to ensure that our customers are not inconvenienced by any problems. The first is the primary site and the second is a backup for emergencies and is located 15 miles away with 100% backups of all the information. Data at the primary site is backed up every night and the site is current and up-to-date with all uploaded information of the day. The secondary side is also updated later on to ensure backup copies of everything. We have multiple service providers for the internet connections at both sites that ensure minimal downtime, if any.
In case of international emergencies where there is a possibility of internet downtime, we have working contracts with partner companies to ensure that all project work is handled efficiently and without any inconvenience to our customers.
Privacy
Original documents are not shared with anyone even our data entry operators. All paperwork is immediately loaded into the computer via scanners and under strict privacy controls. If necessary we break down information into multiple packets that is sent to separate groups of data entry operators. This ensures that no single data entry operator is in charge of a complete packet of information.
Each data entry operator is never sure of what he or she is assigned for uploading. It can be a packet of just applicant names, or only social security information or even dates and telephone numbers.
We also have enlisted the use of a professional document destruction firm that deals with the disposal of client information while under strict supervisions of our trained security systems.
We recognize that our customers have entrusted their valuable project data to us for safe keeping and we value their trust and business.
We have several fail-safes in place to ensure that no information can leak from our data storages site like
1.No single data entry operator is handed the entire database for manual uploading
2.Paper documents are not handed to data entry operators. They are immediately scanned and uploaded and then assigned randomly to operators for entry
3.Our data entry operators work from remote locations and are kept anonymous from each other with no intercommunication.
4.Our operators sign confidentiality agreements, binding them to sensitive data secrecy.
