Quality Controls

Do You Need A Little Assurance?

Our company strives hard to attain the highest standards of precision and accuracy that is possible using the latest technology tools and comply with our client’s requirements and project specifications. Our personnel are well qualified and experienced to handle all data procedures with utmost ease.

We are committed to a work culture where quality of service and accuracy come first.  We employ an independent Quality Assurance (QA) department that deals with the monitoring of each project and helps each member to be as accurate and accountable as possible.

Customer problems are dealt with immediately and a Corrective Action Report is prepared for reference.  A quality assurance team, the tech support department, and the production department all work together to review the problem and correct it.  Feedback from this error is then recorded to help us redesign our existing systems and increase performance levels.  We develop a database of Corrective Action Reports and utilize some of the same data analyzing techniques we offer to constantly develop ways of improving.  Here are some of the things our QA department employs:

Double Key Entry

This is a guaranteed and proven technique adopted by most companies today. Two separate operators key in the same information.  In this way even if there is a slight error, the computer brings it to the notice of the operator. An independent data operator is then given the charge of rectifying the data accurately. In case the information supplied by the client is illegible we notify the clients, identify and categorize the problems and suggest solutions to the customer to get the matter rectified quickly.

Customized Computer Software

Customized computer software aids in the verification of precise and accurate data entry. Tools such as table lookups, formulae’s, logistics and field validation help us to validate data. We can check the bar codes against the specific item, state and zip codes against postal service and also check medical diagnostic codes with the AMA database. We can also use client created databases as a reference for validation.
Logic and common sense are employed in some situations. Telephone numbers, social security numbers and pin codes are specific in nature (each have a designated number of characters), thus when entering the information, these rules add another layer of verification check.

Random Checks

Each project is supervised by a specialist team leader who arbitrarily checks documents and data operators for precision in the work. New operators are given training until they are familiar with the project and they are absorbed only when they meet all standards of accuracy set by us. The data entry operators are critiqued and evaluated on their pace and accuracy on a constant basis.
